About WestSide Baby

 

Founded in 2001, WestSide Baby (WSB) is a 501(c)(3) nonprofit and member of the National Diaper Bank Network. WSB envisions a day when every child has the basic items they need to grow into a healthy, happy, and resilient member of the community.

 

In partnership with the community, WestSide Baby collects and distributes diapers, clothing, equipment, and other essential items for children ages 0–12.

 

WSB operates a diaper bank distributing more than 2 million diapers annually and works with 100+ partner agencies across Western King County. Each year, the organization distributes more than $3 million in clothing, diapers, safety equipment, and other essential items to children across more than 80 ZIP codes.

 

About the Position

 

The Operations Manager oversees warehouse operations and key program functions that enable WestSide Baby to serve approximately 30,000 unique children annually.

 

The Operations Manager oversees donation logistics, warehouse capacity, distribution outcomes, supply chain systems, budgets, and inventories. Working with Program Managers and organizational leadership, this role develops and executes WSB’s annual program strategy and uses data and outcomes evaluation to ensure families and communities receive high-quality basic-need items efficiently, effectively, and equitably.

 

The position supervises Program Managers and is responsible for improving processes, strengthening supply chain solutions, and ensuring effective warehouse and program operations.

 

Responsibilities

 

Strategy, Administration & Management — 10%

 

  • Develop and implement annual strategic initiatives and program-related budgets in partnership with the Executive Director.

  • Oversee execution of warehouse strategies, logistics, and safety protocols, including distribution, volunteer, and supply chain operations.

  • Maximize program effectiveness by innovating and refining warehouse systems.

  • Collect, interpret, and report program impact data to WSB staff and the Board of Directors.

  • Collaborate with the Development team to leverage funding opportunities that enhance operations and community impact.

  • Lead warehouse setup for fundraising and community events, including the annual fundraiser and Sip & Sort volunteer program.

  • Represent the Program team on the Leadership team and in key stakeholder and donor meetings.

 

Supply Chain & Warehouse Strategy — 50%

 

  • Oversee collection, inventory, and distribution processes, including management of Program Managers responsible for warehouse operations.

  • Optimize warehouse spaces to support a fast-paced, safety-first environment.

  • Manage logistics involving incoming donations, product deliveries, outgoing provider orders, and warehouse safety.

  • Develop and execute warehouse safety protocols.

  • Ensure proper execution of item collection strategies, policies, procedures, signage, and warehouse organization.

  • Develop and implement purchasing strategies aligned with budget and warehouse capacity.

  • Manage program inventory, including systems, purchase projections, and data processing.

  • Develop and implement warehouse receivables plans for product deliveries.

  • Place large-scale orders consistent with WSB’s program strategy and budget.

  • Establish and maintain vendor relationships, including disposal/recycling vendors and key in-kind partners.

  • Lead the annual inventory and audit process and prepare inventory for third-party auditors.

 

Distribution Program & Strategy — 25%

 

  • Supervise and collaborate with the Distribution Manager to develop the strategy, impact goals, and execution of WSB’s distribution program.

  • Align distribution strategies with community needs, available inventory, and budget.

  • Support improvements to distribution and ordering systems that advance equitable distribution practices.

  • Synthesize feedback and support the Distribution Manager in refining program operations.

  • Assist in the Distribution Warehouse as needed.

 

Volunteer Engagement Program & Strategy — 15%

 

  • Supervise and collaborate with the Volunteer Manager to develop the strategy, impact goals, and execution of WSB’s volunteer program.

  • Prioritize volunteer satisfaction and productivity.

  • Support the supply chain for incoming donated items and order processing.

  • Oversee the strategy and execution of volunteer groups.

  • Synthesize feedback and support the Volunteer Manager in refining program operations.

  • Assist in the Volunteer Warehouse as needed.

 

Qualifications

 

  • Strong leadership skills and ability to work independently in a dynamic, collaborative, and team-oriented organization.

  • Excellent organizational skills and attention to detail, including a strong understanding of space management and system efficiency.

  • Excellent time management, prioritization, and problem-solving skills.

  • Strong program and partner development and stewardship skills.

  • Strong written, verbal, and interpersonal communication skills.

  • Highly motivated, resourceful, flexible, and able to bring a can-do approach to work.

  • Proficiency with Microsoft Office Suite or related software; Salesforce experience is a plus.

  • Ability to interpret data and use findings to drive strategy.

  • Forklift experience preferred but not required; willingness to learn is required.

  • At least two years of nonprofit management experience, preferably in the human services sector, including supervision of direct reports and/or volunteers.

  • At least one year of experience developing and implementing strategic initiatives that resulted in measurable impact.

  • Experience with supply chain, inventory, and social service agencies strongly preferred.

  • Education or experience in program evaluation and reporting.

  • Ability to physically move goods between locations and load and unload products.

  • Ability to repeatedly lift 30 pounds.

  • Ability to lift 60 pounds or more with appropriate equipment, including a hand truck, pallet jack, and/or forklift.

  • Ability to work for prolonged periods at a desk and computer.

 

Compensation & Benefits

 

The Operations Manager is an exempt, salaried position with annual compensation of $82,000–$85,000.
