SJF invests in organizations working to end intergenerational poverty in Kalamazoo County through a relationship-centered philanthropy model rooted in equity, trust, and long-term partnership.
The Foundation is governed by a five-member family Board and supported by a staff of seven.
Position Overview
The Controller is a Manager-level position within the Operations Department, reporting to the Director of Operations.
The role oversees finance operations, financial planning, controls, payroll, audits, reconciliations, compliance, insurance schedules, reporting, and relationships with external accounting partners.
The Controller serves as the primary finance operations leader supporting organizational effectiveness, accountability, and scalability.
Responsibilities
Budget Development & Financial Planning
Manage the annual organizational budget process with leadership and department heads.
Develop budget templates, timelines, assumptions, and planning guidance.
Consolidate departmental budgets into a comprehensive organizational budget.
Review budget submissions for completeness and alignment with organizational priorities.
Monitor budget performance and prepare variance analyses and financial forecasts.
Support department leaders with budget management and resource allocation.
Prepare budget reports, forecasts, and projections for leadership and the Board.
Monitor cash flow.
Support scenario planning and financial modeling.
Maintain budget administration systems and reporting tools.
Identify financial trends, risks, and opportunities.
Financial Records & Reporting
Maintain accurate financial records and supporting documentation.
Prepare recurring financial reports, analyses, and dashboard forecasts.
Manage bank and financial reconciliations.
Maintain reporting schedules and calendars.
Improve financial reporting processes and operational efficiency.
Accounts Payable & Financial Administration
Manage payroll processing and reporting.
Oversee accounts payable, invoices, payments, and vendor administration.
Manage banking relationships and financial service providers.
Administer contracts, payment schedules, renewals, and compliance requirements.
Coordinate contract documentation with staff, vendors, and consultants.
Manage vendor onboarding and records.
Coordinate grant payment scheduling, tracking, and reconciliations.
Partner with the Information Systems & Grants Manager on grant reporting and audit readiness.
Audit, Tax & Compliance Administration
Manage annual audit preparation and coordination.
Serve as primary liaison with external auditors and accountants.
Coordinate audit schedules, reconciliations, and supporting documentation.
Support preparation of IRS Form 990 and related tax filings.
Monitor compliance with financial policies and procedures.
Maintain financial controls, insurance schedules, and documentation.
Grantmaking Compliance & Financial Review
Review applicant financial statements, audits, and IRS Form 990s.
Evaluate budgets, financial controls, and accounting systems.
Assess organizational capacity to manage grant funds.
Identify financial and compliance risks.
Confirm proposed expenses meet Foundation guidelines.
Conduct financial due diligence.
Monitor grant disbursements and grantmaking financial records.
Provide recommendations regarding financial viability and risk.
Qualifications
7–10 years of progressive finance or accounting experience required.
Nonprofit, private foundation, or mission-driven experience preferred.
Experience with budgeting, reporting, audits, compliance, and financial administration required.
Experience working with auditors, accountants, financial institutions, and boards preferred.
Experience strengthening financial controls, policies, and systems preferred.
Strong analytical, organizational, communication, and project management skills.
Proficiency with accounting systems, spreadsheets, and financial software.
Commitment to confidentiality, stewardship, collaboration, continuous improvement, inclusion, and professionalism.
Nature & Requirements
Based in Kalamazoo, Michigan with a flexible work schedule.
Full-time, Monday–Friday, 9:00 a.m.–5:00 p.m. ET.
Occasional on-call availability may be required.
Role involves cyclical deadlines, extensive computer use, and handling confidential information.
Compensation & Benefits
Salary: $145,000–$196,000, based on qualifications and experience.
Generous vacation, sick leave, and paid leave.
At least two weeks of annual Collective Rest & Reflection office closures.
11 federal holidays.
